Any food or drink consumed on the stand MUST be purchased through the venue’s appointed catering company,The RAI venue holds the sole right to supply all food and beverages consumed on-site. They can supply a full range of food and beverages to your stand, and arrange waitress service where required. Should you wish to have any food or beverages on your stand you can order this directly on the RAI Webshop.

Please note that the last catering orders need to be order 10 days before the show opening day.

Please note that if any external catering is used without consent from the venue, charges will be levied directly to you. Any buyout fees applied by the RAI post event as a result of supplying your own stand catering will be passed directly on to the Exhibitor to settle directly with the RAI.

We strongly recommend you use internal catering however if you chose to source your own catering supplies, it is essential that all corkage fees are agreed upon in advance to avoid any additional fees.

The gangways and public areas will be cleaned and vacuumed outside exhibition open hours. After the show closes each day you must ensure you place any rubbish bags or empty boxes for disposal in the gangways next to your stand. This applied for both space and shell scheme stands however please read the information below carefully to book additional cleaning.

Shell scheme

Shell scheme stands will be cleaned before your first conference day as part of your shell scheme package. If you require cleaning of your stand after the first day of the conference this will need to be booked and paid by the exhibitor directly with the venue. Space only

On Thursday 13th July it is your responsibility to ensure that all items and rubbish have been removed from your stand by 22:00. Waste must not be dumped or disposed of in the hall or any other part of the venue. Any charges incurred from items being abandoned, will be passed directly onto you.

Data Retrieval

Clarion Gaming are partnering with Visit Connect for your data retrieval needs. Exhibitors can verify, rate, prioritise, monitor and respond to leads immediately. Not only that, they can assess the event as it unfolds against their own pre-set targets in order to continually assess return on investment. In short, Visit Connect puts the success of participation in the palm of an exhibitor's hand.

Using the app (iOS and Android) exhibitors can scan a visitor badge, retrieve contact data, add notes, answer pre-set questions, set follow up instructions, add voice memos and photos, and even immediately contact the visitor either direct from their device or by exporting their leads.

The Visit Connect portal offers a complete overview of all the devices activated for an event; giving all the detail that is being captured at the event, as it is being captured, so exhibitors can decide how, and when, they follow up on prospect data.

Visit Connect gives exhibitors total control of their leads and stand personnel, pre and post event. They can assign lead capture licenses, detail lead qualifying questions and answers, set lead targets and use the portal to follow up on leads to get the edge on their competition. Deliveries and Shipping

DSV Fairs and Events have been appointed as the official freight, customs and onsite handling contractor for the iGB L!VE 2023. They provide specialised freight forwarding services and transportation arrangements for exhibit materials, including on-forwarding after the event. Their aim is to ensure that you and your show teams receive the very best freight and handling assistance in the run up to, during and after the event.

Advanced warehouse deliveries

If you are sending deliveries before the show, we recommend sending them directly to the DSV Fairs and Events warehouse. These can be received up until Monday 26th June 2023 

Please follow the shipping instructions here and use the delivery labels provided by DSV , there are specific coded labels depending on what your shipment is. Please ensure you also complete the exhibition handling form for every delivery.


Direct deliveries to venue

Deliveries to the venue can only be accepted from Sunday 9th July 2023 to and including the last day of build up to 18:00hrs on Tuesday 10th July 2023. Please note any deliveries received outside of these dates may be held by the venue shipping agent and any charges for this service will need to be settled between the exhibitor and agent only.

Please ensure the labels are completed in full and affixed to all shipping so the label is clearly visible on arrival.  Please ensure you also complete the exhibition handling form for every delivery.

IMPORTANT: Any exhibitor from outside the European Union sending goods for FINAL import into The Netherland will require a Dutch or EU EORI number. This includes international companies not registered in the EU.

Courier Deliveries

Courier companies cannot arrange temporary import customs and will not deliver to your Hall / Stand unless you are there to receive the shipment. We strongly advise against using them but should you wish to do so please consign the shipment as below; we will receive the courier shipment and deliver to your stand on the date required.

Goods should be marked with iGB L!VE 2023, name of exhibitor, hall and stand number.

IMPORTANT: Any courier shipment from outside the European Union will require a Dutch or EU EORI number – please see previous section for details.
Courier shipments should arrive customs cleared and with duties / taxes charged back to sender. Schenker Logistics Nederland BV or DSV Solutions will not accept shipments with charges outstanding


Please be aware that the electrics included in your package is only suitable for normal domestic tools and appliances e.g. laptop and mobile chargers, kettles, plasma screens. Fridges, coffee, ice-cream and slushie machines, multiple plasma screens, appliances and lights will require additional power. If additional power is not ordered, you may lose power to your stand as it will overload the circuit.

You are not allowed to bring your own forklifts into the venue due to insurance and health and safety reasons. However, the official freight forwarding company will be able to assist with unloading and loading your vehicles in the loading areas, but must be booked prior to the show. All exhibition stands will have Wi-Fi access as part of their stand package. Log in details will be available at the show.

We have invested heavily in the complimentary Wi-Fi network included in your stand package and this should be more than sufficient for your needs e.g. software demonstrations, browsing the internet, uploading photos, checking emails etc. As a result, the use of your own wireless routers is STRICTLY FORBIDDEN as this causes interference with this network.

Any established wireless networks found to interfere with the show Wi-Fi will be switched off by the organiser’s.

Platforms and Flooring

Floor flats and platform floors are available for hire GES All orders can be placed online. (Link Coming Soon!)

Please note that all floor flats and platforms must be finished with a securely fixed metal or plastic edging trim. If you are shell scheme, please note that the interior dimensions of your stand may be slightly less than the dimensions of the stand booked. This is due to the system that is used to build shell scheme stands

Promotional Staff

Please note there is a fee for promotional passes that will have to be paid before the event begins, the fee payable is dependent on the size of your Exhibition stand (i.e. 1 Promo staff Per 3m x 3m):

  • 9m²: Entitled to 1x Promo staff pass at discounted rate of £150 each
  • 18m²: Entitled to 2x Promo staff at discounted rate of £150 each
  • 27m²: Entitled to 3x Promo staff at discounted rate of £150 each

Any model pass over your entitlement will revert to the normal non exhibitor rate of £1,500.

Promotional staff are permitted to walk around the expo hall as long as they abide by Code of Conduct. Promotional staff they must not congregate or hand out any promotional material in the registration area or conference rooms. Promotional drops are not permitted in our feature areas.

All costumes must be approved in accordance with our code of conduct, this can be done by either sending to WeImplment, only if you are ordering staff through them, otherwise it should be sent to us at iGB Live Support .

Promotional Hanging Banners

The cost to exhibitors for the opportunity: £2,300 per banner (excluding production and hanging/rigging costs). The dimensions for the banner must not exceed the stand size. The cost of the hanging banner may have been included within you stand package, you can check if this is the case by contacting your sales account manager.

It may be possible for banners and trusses to be rigged above the stands. However, please check with Katy Leslie when placing your order as there may be some height restrictions. All banners and trusses must be hung at a height of 8 meters from floor to the top of the banner. The banner needs to be printed on all sides. If a vinyl banner is being produced, please ensure it is produced in line with the venue requirements. Please note that poles must be brought with the banners and that the venue and iGB cannot supply these.  Unless otherwise agreed with Katy Leslie, all hanging banners are to be hung above a stand and are to not exceed the stand size.

EXPO TECH are the official rigging company for the iGB L!VE 2023 and will be on hand to assist you with any rigging services you require as part of your stand build – e.g. support, lighting, truss, chain hoists, etc.

Shell Scheme Additions and Accessories

A comprehensive range of standard items, including wall panels to form office enclosures, shelving, display panels, etc, may be hired from the GES, for more details and to request a quote please contact GES. Signage/Graphics : Design and Production

Full vision are very well versed in the world of iGB Live! as they have been working with us on this showfor the past 5 years. They have focused on providing signage that is impactful while also sustainable. Full Vision has been consistently delivered a fantastic product and service forus for the past 5 years.Their ethos is something to keep you returning as a customer and that is because sustainabilityis at the heart of their business. Storage will only be handled by DSV Fairs and Events. They are the official freight forwarding supplier for the show and can assist with any storage you may require. Their contact details are as follows:-

Unfortunately, there are no storage facilities available on-site. You are responsible for arranging storage of your literature, packing cases and boxes. All items must be stored within the confines of your stand. Please do not store anything behind your stand. Fire regulations require that any items found outside your stand be removed, as they are a fire hazards.

Water, waste, compressed air and natural gas

There are no permanent facilities for water and waste, compressed air or natural gas supplies in the hall. Exhibitors wishing to have a temporary supply on their stand will need to contact RAI Amsterdam on:
